About SubKulture Entertainment

SubKulture Entertainment (SubK) is a U.S.-based K-pop tour and project management company specializing in festivals, tours, showcases, fan events, media promotions and activities, event activations, and artist logistics around the globe. Our team manages every aspect of tour operations—from pre-tour planning to on-the-road execution and post-tour settlement—working closely with artists, management companies, promoters, production teams, vendors, and venues.

We`re looking for a highly organized, detail-oriented, and proactive individual to join our team as a Tour Coordinator. While this position will primarily support our hotel operations, you`ll receive hands-on training across every aspect of tour management with the goal of developing into a future Tour Manager.

This is an excellent opportunity for someone interested in the behind-the-scenes world of live entertainment, touring, and K-pop.

Position Overview

Hotels are one of the most time-intensive aspects of every tour, from sourcing and contracting to managing rooming, logistics, and final reconciliation. Your primary responsibility will be supporting our hotel operations while also assisting with transportation, hospitality, staffing, tour logistics, and general project coordination.

You`ll work directly with our Tour Management team and gain exposure to the complete lifecycle of a professional tour.

Primary Responsibilities

Hotel Operations (Primary Focus)

  • Research hotels in various markets throughout North America

  • Compare hotel options based on location, budget, amenities, and tour requirements

  • Prepare hotel option presentations for clients

  • Communicate with hotel sales managers

  • Review hotel proposals and contracts

  • Assist with contract execution and tracking

  • Create hotel information packets and hotel riders

  • Organize rooming lists and hotel documentation

  • Assist with hotel billing, reconciliation, and settlement after tours

Tour Logistics

  • Update and maintain master tour planning spreadsheets

  • Update estimate and expense tracking documents

  • Research transportation options and pricing

  • Create transportation grids and routing documents

  • Assist with airport logistics and transportation planning

  • Research VIP airport services

Staffing & Vendor Coordination

  • Source and coordinate translators and local runners

  • Research and contact catering companies

  • Assist with hospitality planning

  • Update hospitality riders

Research & Administrative Support

  • Research visa requirements and travel information

  • Research ATA Carnet procedures and customs information

  • Organize digital files and tour documentation

  • Upload photos and operational references for future projects

  • Label backstage maps and venue documents

  • Maintain organized project folders

Team Coordination

  • Monitor internal team group chats for schedule updates and operational changes

  • Keep project documents updated with new information

  • Assist various departments as tour needs evolve

  • Support the team with additional operational tasks as assigned

What We`re Looking For

We`re looking for someone who is:

  • Extremely organized and detail-oriented

  • Able to manage multiple projects simultaneously

  • Comfortable working with spreadsheets and large amounts of information

  • Resourceful and enjoys researching solutions

  • A proactive self-starter who takes initiative

  • An excellent communicator

  • Able to adapt quickly in a fast-paced environment

  • Interested in travel, live events, entertainment, or the music industry

  • Passionate about K-pop is a plus, but not required

Language Requirements

  • Professional working proficiency in both English and Korean (spoken and written) is required.

  • Must be comfortable communicating with vendors, clients, and partners in both languages.

  • Ability to translate or interpret operational information accurately is highly preferred.

Preferred Qualifications

  • Strong proficiency in Google Workspace and Microsoft Office

  • Experience with Excel or Google Sheets

  • Excellent written and verbal communication skills

  • Ability to learn new systems quickly

  • Strong problem-solving skills

  • Previous administrative, hospitality, event, or customer service experience is a plus

Why You’ll Love This Role

Unlike many positions focused solely on administrative work, this role provides direct exposure to professional tour management.

You`ll gain experience in:

  • Hotel sourcing and contract negotiations

  • Transportation logistics

  • Tour budgeting

  • Vendor management

  • Hospitality coordination

  • Artist and staff logistics

  • Tour operations planning

  • Live event management

  • Real-world problem solving

  • Professional communication with hotels, clients, and vendors

Our goal is to develop future Tour Managers from within. Outstanding team members will have opportunities to take on increasing responsibilities and may eventually travel on tours in support of artists and staff.
